ComplyNexus Academy Refund & Cancellation Policy

ComplyNexus Academy is the education and training brand of NanoMatriX Technologies Limited, a company incorporated and registered in Hong Kong. The Academy is operated by the ComplyNexus Division of NanoMatriX Technologies Limited and provides online courses and related services under the ComplyNexus Academy name.

1. Scope and Definitions

This Refund & Cancellation Policy applies to purchases made for ComplyNexus Academy products and services that are sold directly via the ComplyNexus Academy online platform using online payment (including card, Stripe, PayPal, wallet or similar providers).

It covers:

  • Individual self-paced online courses
  • Scheduled cohort-based programmes
  • Short executive sessions and live workshops
  • Digital products (e-books, PDFs, other downloadable content)

This policy does not apply to:

  • University, corporate, professional body or government Lab licences and other institutional agreements (governed by separate written contracts)
  • Products sold via third-party marketplaces (subject to those platforms’ terms)

2. General Principles

  • The Academy offers a fair and transparent balance between learner flexibility and sustainability of high-quality ESG–AI and governance education.
  • No refunds are granted once a course has been “used” as defined in section 3, except in limited goodwill or outage-related cases.
  • For Institutional Clients, refund and cancellation rules are set out in the individual contract.

3. Self-Paced Online Courses (Individual Buyers)

3.1 Start of Service

The start of service is the earlier of: the time payment is successfully processed and access is granted, or the learner’s first login into the course area after payment.

3.2 What Counts as “Use”

A course is considered “used” and no longer eligible for refund if any of the following occurs:

  • The learner has accessed more than 10% of the lessons or learning activities
  • The learner has downloaded any course materials
  • The learner has attempted any quiz, assignment, or graded activity

3.3 Refund Eligibility Before “Use”

If a learner has not yet used the course, they may request a refund within 7 calendar days from the date of purchase, provided:

  • No materials have been downloaded
  • No assessments have been attempted
  • Accessed content remains at or below 10%
  • Request is submitted via the official support channel with proof of purchase

Approved refunds are subject to the administrative/processing fee in section 5.3.

4. Cohort-Based Programmes and Live Sessions

4.1 Full Refund Window (Pre-Start)

A full refund (minus admin fee) is available if cancellation is at least 5 full calendar days before the scheduled start date and the learner has not accessed more than 10% of pre-session content.

4.2 Within 5 Days of Start or After Start

No cash refund. The Academy may offer rescheduling or course credit at its discretion. No pro-rata refunds for partially attended programmes.

5. Digital Products, Books and Fees

5.1 Digital Products

Once a download link has been made available or the file accessed, the product is considered delivered and no refunds will be provided, except where required by applicable consumer protection laws.

5.2 Print Books and Physical Materials

Once shipped, items are non-refundable except for wrong items or items damaged on arrival (with photo evidence within 7 days).

5.3 Administrative / Processing Fee

All approved refunds are subject to an administrative/processing fee of:
USD 50 or 1% of the total purchased value, whichever is higher.

6. Institutional Contracts

For university, corporate, professional body and government programmes: refunds and cancellations are governed exclusively by the separate written contract. No refunds are granted once the contract is signed and access has been provided.

7. Wallets, Vouchers and Credits

Wallet balances and promotional credits are generally non-refundable in cash but may be used for eligible courses within their validity period.

8. Outages and Cancellations by ComplyNexus Academy

8.1 Platform Outages

The Academy will provide credit extension or free re-enrolment rather than cash refunds, except where applicable law requires a refund.

8.2 Academy-Initiated Cancellation

Customers will be offered rescheduling or course credit. Full cash refunds may be offered at the Academy’s discretion or where required by law.

9. Governing Law

ComplyNexus Academy is operated by NanoMatriX Technologies Limited, Hong Kong. This policy is governed by the laws of the Hong Kong Special Administrative Region (HKSAR). Where local mandatory consumer rights provide stronger protections, those rights take precedence.

10. How to Request a Refund

Submit requests via the official support channel quoting:

  • Full name
  • Email address used for your account
  • Course or product name
  • Order or payment reference
  • Reason for the request

Note: Self-unenrolling from a course does not automatically create a right to a refund. Refunds are always processed manually by the Academy’s support or finance team.
